JUS.T.I.S Governance Council Meeting
June 26, 2014

Start of Meeting: 9:35 am

Departments Present: Department of Technology; City Administrator’s Office; Public Defender; Police; Superior Court; Department on Status of Women; District Attorney

Absent: Sheriff, Juvenile Probation, Emergency Management; Mayor’s Office; Adult Probation

Minutes from Prior Meeting – Not available for review and approval. They will be provided at our July Meeting.

From Executive Sponsor’s Update.

The CAO’s office hopes to have the 1824 position filled in August. The person will provide staff support to this committee. Other items will be covered in the TSC update below.

From the Technical Steering Committee’s Update.

There were no meetings with Departments this month

Our primary activities were related to the rollout of chassis 3.

From Case Management System Updates:

HUB Activity/Server Project:

For the bi-directional connection to the District Attorney’s Case Management System to JUSTIS, the XML is being edited by the vendor.

For Adult Probation, we are working with OIS [Owens Information System] to design transactions from the HUB to Adult Probation. JUSTIS staff is working on user authentication so users of CORI data can be tracked on an individual basis.

For Police, we sent SATS tables to the courts.

There were new email issues resulting from the change to Outlook 365 that affected the notification features of the HUB and are being resolved.

For Sheriff, we worked with them on error handling issues which were all addressed.

We worked with DT to provide input on our requirements for change controls that will be occurring during the next several months.

Finally, chassis 3 is up and running. Members congratulated and thanked the JUSTIS staff for achieving this major milestone for the project. The work with DT was very smooth and was appreciated. A SAN array drive failed and we will move to replace it with a final expansion of new drives. There is a PO in place for the purchase.

Department on the Status of Women

The JUSTIS staff will begin to work with DOSW this week to work on the data reports they have requested.

District Attorney

We are working with the JUSTIS staff on the HUB Interface project. We are now issuing subpoenas to police officers on a trial basis and the project is running smoothly.

Public Defender

We are working with the JUSTIS staff on improving their server to utilize resources now that chassis 3 is running.

Police Department

No new items to report.

Superior Court

We are working with the vendor for the Collections database and should be completed by the end of July. They will be reaching out to the JUSTIS staff regarding infractions. They should be ready to work on the Adult database by the end of the year. The new collections software will go live on June 30th, which transfers payments from the county to the vendor. Ron Ho has retired and has been replaced by Jeff Ishikawa, who was named Interim Director of Technology.
