Set up Hours:Weekdays

Unless prior approval is granted, set up may not start before 5:00 PM for events in the Rotunda. Unless prior approval is granted, set up may not start before 4:00 PM for events in the Light Courts. Weekday events may not start before 5:30 PM and must end by 2:00 AM with load out to follow immediately. Saturday/Sunday

Recycling
A $300.00 fine will be assessed on all vendors and clients who do not recycle waste produced from their event.

Load-in and Load-Out Procedures
These guidelines are intended for small to medium sized events. If your event is of a larger scale (500+) there may be additional guidelines necessary to accommodate your event.
  • There is no entry into the Rotunda with any event set-up until two things happen; (1) 5:00 PM arrives and (2) the Event Manager gives the okay.
  • For evening rentals, the North and South Light Courts may be set up only after 4:00 PM, unless the vendor has chosen to rent the facility hourly prior to this time.
  • All vendors must use either the Grove Street or the McAllister Street entrances to load or unload equipment. Loading times for McAllister and Grove are from 7:00 AM to 9:30 AM, or after 3:00 PM on the day of the event. The entrance will be designated by City Hall Event Staff for each event.
  • Vendors with equipment that does not fit in the freight elevators can use the Van Ness Street entrance to load and unload. Loading times for Van Ness are from 5:30 AM to 6:30 AM. Loading through Van Ness Street entrance must be pre-arranged through the City Hall Event Staff for each event. Either the ven-dor or the client must provide approved, outside security throughout the entire span of the load in/out. The City Store and Light Court Café are open to the public in the North Light Court until 5:30 PM. If you are setting up before 5:30 PM and do not wish to pay the $100.00 per hour per location fee to close their business, your set up can not impede them from conducting business. This price is sub-ject to change by the business owners.
  • Please let the sheriff manning the desk at each entrance know that you will be temporarily parking to unload equipment for an event.
  • Use only the freight elevators located on the ground floor / Carlton B. Goodlett Street lobby to load and unload equipment into the building. Freight elevators are marked with "Freight Use Only" signs.
  • Vendors must meet with City Hall Staff to receive instructions regarding usage of freight elevators prior to use.
  • If you are loading out after 8:00 PM Monday - Friday you must hire approved, outside security until load out is complete.
  • If you are loading in or out Saturday, Sunday or holi-days you must hire approved, outside security until load out is complete.
  • Any equipment set up the day before the event needs to be stanchioned off and weighted when appropriate.
