The meeting was called to order by Task Force Co-Chair Judith Blackwell at 1:12 P.M.
Consent Calendar
Review of past meeting minutes. The minutes were unanimously approved.
Report of the Co-Chairs
None.
Discussion Item: Review of P-500 & G-100 Forms; Discussion of Contracting Standards
The Task Force requested that the Office of Contract Administration follow up with those City Departments who have not responded to the Task Force’s request for information on the terms and conditions that they add to the standard P-500 & G-100 forms.
Grant Agreements
Item was tabled for next Task Force meeting.
Committee Reports
The Monitoring committee distributed its meeting notes, which were discussed by the Task Force. (Notes are attached.)
The Standardized Forms committee handed out notes from previous meetings and a sample packet of forms that are grouped by subject to illustrate their similarities. The forms were reviewed and discussed. (Notes are attached and copies of the packet are available upon request.)
Per the May 2 request of the Task Force, the Department of Administrative Services distributed:
" a calendar,
" a timeline,
" a matrix of Task Force Committees including members and affiliations, as well as
" an inventory of City Departments doing business with vendors coded as non-profit for the fiscal years 2000 - 2001 and 2001 - 2002.
Issues Marked for Continued Discussion
Members will also continue discussion of contracting standards (including P-500 & G-100 forms) of various City departments.
The Task Force will discuss grant agreements.
Monitoring Practices committee and the Master Contract committee will present at the next full Task Force meeting on May 30.
Discussion of Agenda
The agenda for the next meeting was determined. It was agreed that an item to discuss the final report of the Task Force would be added to the May 30 agenda.
